How To Effectively follow up your Media Pitch

So you have crafted a good story pitch, researched publications and journalists and sent it out, you’re sure that it would be perfect for your audience. Some days have passed and you haven’t received any response, you feel distressed.  Your instincts tell you that maybe, the journalist you pitched was not interested and reaching out to them will be a bother. But your instincts are wrong, you need to follow up if you want your story to get out there. Following up the right way is a challenging yet vital task. It is as important as sending the initial pitch. Here are some important things to keep in mind before sending that follow up message.

Give it some time
Journalist’s inboxes are a black hole for pitches, they receive an overwhelming number of emails each day and they may not be able to respond to all of them. You need to be patient. Sometimes even great and winning pitches get lost in the inundation of emails.
So how long should you wait to send a follow-up message?
There this no specific time frame, but 2 to 3 business days are reasonable. This gives the journalist time to work through their emails. Waiting for too long may make them forget your pitch. Also, you should prolong the waiting period by a few days for each subsequent email.

Be nice
I know it might be tempting to get out-and out nasty when you get ignored but do not be ratty or take it personally. They say that you catch more flies with honey than vinegar.  Being nice and keeping calm can also help you create a positive relationship with the journalist which is a gain for your business or brand.

Avoid sending numerous messages.
As much as you need to be persistent, sending several emails won’t help it makes you bothersome. If your first two messages still go unanswered it means that the journalist was not intrigued. Move on and try pitching another journalist. Also, you should avoid sending the same message over and over again. You can try changing the wording.

Add to your pitch
Instead of just resending the original message, you can revamp it with additional information, offer something new and enticing that was not in the original email. Be creative and try another angle to make your pitch attractive and stand out.  You should also ensure that your story is excellently written because most journalists will do away with a story that does not pique their interest.

Keep it short
Follow up messages should be kept short, clear and straight to the point. Considering the many emails journalists get, it is possible to miss a few or forget to reply to some of them. One or two sentences are enough to bring the issue back to their attention. This also shows that you value their time.

Bottom line: Earning media coverage is not easy. You might send an excellent pitch but media contacts are often slow to jump on stories. If you don’t follow up you might lose your chance of being considered Following up is virtuous PR strategy and a great way to help your story get covered.

7 Elements of a Good Press Release

Despite the many channels and platforms available to PR experts today, press releases remain an integral part of any PR strategy. A press release is a short, compelling, newsworthy declaration written by a public relations professional and sent to targeted media outlets for publication.
Companies distribute press releases for various reasons which  include  promoting upcoming events,  announcing new hires, product launch, celebrating awards or any other happening.
If you want to secure press coverage for your business or organization, then you need to master the art of writing good press releases. Here are guidelines on how to come up with excellent press releases.
1.       Make sure your story is newsworthy
The media is always on the hunt for things that are new and exciting. Before you start writing your press release, ask yourself these three questions:
1. Is there anything new or recent in my story?
2. Is there anything unusual about it?
3. Does the story influence people’s lives or will anyone care?
If you're not sure whether your story is newsworthy, read, watch or listen to the publications or programs you'd like to pitch your story to and you will get an inkling of what they cover.
2.       Use a crisply attention-grabbing headline
A well thought out headline is the most critical aspect of a press release.  Most journalists will use the headline to decide whether to read further or not. The headline needs to be direct, informative and attention-grabbing.
You need to include a catchy phrase that will capture interest and encourage one to read more. Also, make sure your headline is a good representation of what your press release is about; the goal of your press release should be clear in the headline. Avoid vague and misleading headlines
3.       Answer the 5w and 1h as much as possible:
The first lines should give all essential information such as who? What? Where? When? Why? and how? That is; what is happening, where, when and why it will happen (In the case of events) and how it will happen. Giving this information in a clear manner makes it easy for journalists to produce their own stories.
4.       Have a Call to Action:
Every press release has a goal. Whether you want to create awareness of a certain product in the market or you want people to attend an event, you need to clearly and concisely state what you want people to do after they have read the press release. Be compelling and creative, but do not sound promotional. Include information about your company, a phone number, an email address, and the name of the person to contact, so that readers know who to follow-up with.
5.       Include Multimedia:
Multimedia is so appealing, you should try and spice up  your press release up by including some multimedia elements such as video, photos or infographics. Take for instance, if your press release is about a product launch, you will want to include photos of the product. Only add photos and videos that complement the story and avoid sending big files that will clog up your recipients’ inboxes.
6.       Add appropriate quotes:
Effective press releases incorporate quotes and sayings from important people in the company. They also make the story more credible. Quotes should be used to provide insight and opinions. They shouldn't be full of jargon or technical language.
7.       Disseminate in the right way
Writing a good press release is not enough if you don’t know who you will pitch. Do your research and ascertain who your audience is, what media reaches them best and who are the most experienced journalists covering your niche. You can also publish the press release on your website and social media.

Public releases are not guaranteed marketing tools since it is not surefire that  mainstream media will publish it, it requires a bit of chasing to get press coverage. Do not give up if one of your pitch is declined. Be persistent and find ways of making your press releases exceptional.

Debunking the myths of PR

Bill Gates once said that if he was down to his last dollar, he would spend it on PR. Now that shows you how important PR is, but still, many people overlook and underutilize PR. This is because they don’t understand clearly what PR entails and of what benefit it can be to their businesses.
In this post I have dispelled the 7 most common misconceptions about public relations.
1.       Hiring  PR professional is not necessary

This is a dangerous myth. Most people think that as long as they can tell a story about their company they don’t need to hire a PR expert, but the fact is, PR is more than just storytelling, there are so many things that go on behind the scenes. Under the PR umbrella, we have crisis management, event management, media relation et al.  It’s a full-time job and requires training. Hiring a professional who knows what they are doing may incur extra expenses but it will be worthwhile.

2.       PR is marketing
Marketing and PR are two different but complementary roles that are imperative for any business. Although these two have different tactics, goals and ROI, PR cannot be complete without marketing.  Marketing deals with promotional, direct sales and advertising whereas PR is focused on enhancing brand image through generating positive media coverage and stakeholder communication. Also, PR is long term and marketing is short term.

3.       PR is advertising
No, that’s not right, there is a huge difference between advertising and PR. While PR is earned and unpaid, advertising is purchased and it is paid for. The main aim of PR is to build mutual beneficial relationships between an organization and the public. With PR you pitch the media for your client’s story to get published and you don’t pay while for advertising, you have to pay the media for your advert to be seen. This can be less credible and pricier. Both advertising and PR help build brands and communicate with target audiences.

4.       I just need PR in time of crisis.
Public relations crisis are inevitable and most businesses will face such crisis at one time or another.   These can have a negative impact on the company’s reputation. Prior preparations and having a good crisis communication strategy in place helps to foresee and overcome such crisis. Some companies turn to PR experts when crisis hit and the company’s reputation is at stake. Their hope is that PR experts will just come up with the right response and mitigate the crisis.

5.       PR is for big establishments
Many people are for the idea that PR is only for those well established companies with huge marketing budgets but that’s not it. Although PR is not cheap, every business needs it. As a small business owner you do not need to hire a big PR firm to promote your business, all you need is a professional media outreach strategy to help you get journalists and influencers talk about you brand. This will boost your marketing efforts by building a positive brand image and creating brand awareness.

6.       You can achieve overnight success through PR
Now that’s a dream it won’t happen.  PR is a long term investment- it takes time to achieve success through PR. This is because it is all about building trust and takes some time to trust someone or something. That is why the ideas of overnight success is not possible with PR. You can achieve the overnight success through marketing but PR needs patience.

Using IGTV for PR and Marketing

If you are a fervent Instagram user, I believe you are familiar with IGTV,  This is a standalone video application  by Instagram   for smartphones whose basic functionalities can also be accessed on the  Instagram app. It supports long-form vertical videos. IGTV videos are designed to be longer than Instagram stories and it allows uploads of up to 10 minutes in length with a file size of up to 650 MB, but verified users  are allowed to upload videos of up to 60 minutes in length with a file size of up to 3.6 GB.  The service was launched on June 20, 2018, but still, brands have been relatively slow to adopt IGTV whereas, there are plenty of benefits brands can get from incorporating IGTV in their marketing strategies since right now, it is not oversaturated with marketers competing for attention. Now here are reasons why your need to incorporate IGTV in you marketing strategies.
1.       You need to be where your audience is.
Instagram is one of the most popular and fast growing social media platforms worldwide. According to statistics, Instagram had  reached 1 billion active monthly users in 2018.  The number of online video users is also steadily increasing and this means that more people are now looking for video content and IGTV can go a long way in helping businesses extend their social media and video marketing effort and reach. Brands should make the most of  this opportunity by creating content that connects with their audiences on a more meaningful level.
2.       You  will be  ahead of your competitor
IGTV is still a fairly new concept, it has not yet been flooded with content and chances are that your competitors have not yet used the platform. Therefore, you can gain visibility and get ahead of you competitors by being the first to engage audiences using IGTV content.
3.       You can easily connect with Millennials and Gen Z
Instagram is designed to appeal to the younger generations who favor social media over other traditional media channels. This means that marketers who need to entice Millenials and Gen Z need to include IGTV in their marketing strategies  because  IGTV offers marketers an opportunity to engage with this particular audience in a creative, and at the same time, profound way.
4.       You  can feature your happy clients
Nothing is more convincing to consumers than seeing other customers talking about why they like your brand.  So, its time you feature some of your loyal customers on IGTV. Invite them to be highlighted in the videos and let them tell viewers why they love to use your product instead of the usual, promotional videos where you showcase your new products.

BOTTOM LINE: Be sure to check IGTV’s video requirements before uploading, your videos should be vertical, not landscape, with an aspect ratio of 9:16, since videos on IGTV are optimized for mobile viewing.

Writing skills
As Malcolm Gladwell said ‘Good writing does not succeed on the strength of its ability to persuade, it fails or succeeds on the strength of its ability to engage you, to make you think, to give you a glimpse into someone else’s head.  As a PR practitioner you will be expected to generate content for your clients, may it be a press release, a pitch, or a blog post and since writing in PR differs greatly from writing for a magazine or writing a novel, you need to learn and improve your writing skills. Why Communicators Should Embrace Artificial Intelligence.

The issue of artificial intelligence (AI)   in the PR industry has been a hot button topic in the recent past. Artificial intelligence is the development of computer systems that are able to perform tasks that typically require human intelligence. Some of the top PR agencies are already well acquainted with the idea of artificial intelligence and are using it to perform tasks such as creating media lists, transcribing audio and videos to text, social media monitoring, crisis management and many more. PR professionals who have used artificial Intelligence admit that it is making them better at their jobs and it would be bad if we ignore AI. Some of the common AI tools being used in PR include AirPR, Hootsuite, and TrendKite. Having understood what AI is then we can look at the various ways in which AI has positively impacted the PR industry

AI is helping in many stages of PR campaigns. AI is able to scrutinize mounds of data and discover dynamics that will consistently lead to success in a fraction of time. Also it can predict the best time to run your campaign, the best social mediums to use and the best subject lines to use in your campaign. Similarly AI can analyze data to determine the right audience for the campaign and this minimizes work done and guarantees success.

Influencer marketing is the new trend and theme in the PR world today. Apparently, it is not only the number of followers one has on social media that warrants him/ her to be an influencer but there are several other factors to consider before choosing an influencer for your brand.  This is where AI comes in handy, it helps determine the best influence by sifting through public information to determine the level of influence that a particular person has.

Many PR practitioners have always evaded data analysis, but the good thing is AI can analyze data collected from social media, website traffic etc. in a matter of minutes, you only need to feed in data and it self-assembles. For example on social media platforms such as twitter, you need to monitor new followers, engagements or even the kind of reactions your tweets attract.  AI can do this with seamlessly. This way, decisions are made based on insights and facts and not guess work.

Also, through AI, menial tasks have been automated. It is helping in doing short straw jobs such as scheduling and structuring meetings, setting due dates and writing standard follow up emails. This has eliminated human errors that cause delays and frustrations.

On the other side, most people are petrified that AI is slowly taking up their jobs but this is not the case since AI has not been equipped with soft skills which are very important in the industry, for example AI cannot do jobs that require creativity or critical thinking.

The bottom line here is,  AI is something to embrace and it is becoming so important as time goes by. It has become crucial in eliminating errors and mundane work from PR professionals and it has helped in promoting accuracy, automation and acceleration.

Advantages of Hiring a PR Agency

Some people tend to think that outsourcing PR functions is only for the large international companies that have vast marketing budgets, but this is not the case. PR is crucial even for startups since it is one of the most cost effective ways of marketing and gaining public recognition for your business. Simple PR strategies can make a huge contribution to the success of any business and that is why you need professionals handling the vital PR tasks for your business. The following are the main reasons why  you need to hire a PR agency no matter how small or big your business is.

Brand Building
Brand management is a function of PR that uses different techniques to increase the perceived value of a brand over time. Most renowned  brands owe part of their success to aggressive PR campaigns that have changed the way consumers perceive the brand. Every communication that PR specialists make with the public is an opportunity to reinforce their clients' brands. This is done through developing strategies and creating brand awareness and identity. Building a brand is not something that happens overnight, as a business owner you should start building your brand as soon as possible and be consistent in your PR efforts.

Generating more media attention
If you hire the right PR agency, your business should be able to get more media attention. PR agencies have vast and well established connections with journalists, bloggers, and influencers. They understand well who to pitch, how to pitch and when to pitch. When your brand is featured in the targeted media outlets, it becomes more visible to prospects. thus generating new leads. PR firms can also help in handling queries from media entities.

 Crisis management

Whether you are aware of it or not, your business is susceptible to a diverse range of unexpected threats, which can badly damage its reputation and have a devastating effect on revenue, credibility, customer acquisition, loyalty, and other important aspects of your business. The key to successfully traversing a crisis is preparation and that’s where PR comes in. PR savvies are trained to react immediately and proactively to mitigate damages of a crisis. By working with a reputable PR firm before a crisis occurs, you can greatly improve your ability to minimize the effect of negative publicity on your business. For example, competitors may spread foul stuff about your business but a PR agency can formulate the best response and correct the image and reputation of your business.

   Increasing your return on investment

Today, return on investment has become the metric above all when it comes to demonstrating success for PR. there are many ways of measuring ROI e.g. website traffic, social media engagement etc. PR pros use various online tools to measure the impact of campaigns and other activities so as to help you make informed decisions about the effectiveness of PR  strategies. Working with a good PR agency will maximize your ROI in the long run.

Partnering with a good PR agency is like an extension of your team, they all work together to ensure that your business goals are achieved.  Looking at the above, it clearly makes sense to hire a professional to manage your PR functions. This is how brands grow, with layers of conversations about their product over many years.

Mistakes in Crisis Management

Reputation is an important element in every organization. The most successful companies today owe part of their success to their good reputation.  A good reputation can be dismantled if there isn’t a proper crisis communication plan to manage crisis situations. Most organizations are caught unprepared when a crisis hits and they end up suffering a more than necessary aftermath.  That is why every organization needs a crisis communication plan. This is a set of procedures used to prepare a business for any crisis that may occur. It includes the steps that should be taken in case of a crisis, how to communicate to stakeholders and who should do what in case of a crisis. Crises comes when least anticipated and if there is no solid plan to tackle the crisis, it may even decrease the organization’s chances of survival. In this post we look at the common mistakes that PR experts make when handling a crisis and how to avoid them.

1.      Failing to train for a crisis
Having a good crisis communication plan sitting on your shelf is of no use if no one knows how to use it.  Key players should be trained regularly on how to respond quickly, accurately and confidently in case of a crisis. This can be done in meetings where you go through the plan together or by conducting actual simulated crisis drills where every member acts in their prescribed role.

2.      Ignoring social media
The possibility of any crisis event playing out on social media is usually very high but some organizations have botched in building firm relations on social media before a crisis. Nowadays, social media has become a trusted source of news for many people. In case of crisis social media can be an important, fast and interactive conduit through which you can get to your stakeholders.  Apart from social media PR experts also need to learn how to deal with the media so as to effectively pass across their message hence minimizing further harm in the public eye.

3.      Waiting too long to speak up.
When a crisis hits, messages may become hard to craft and you may be tempted to stay quiet about the whole thing but in crisis, silence is not golden. The public expects you to speak up fast. You do not need to have all the answers but you should at least own the problem. Staying silent means that other people may take that opportunity to control the story. Also another common mistake communication experts make is trying to silence others, for example by blocking or deleting negative comments on social media. This makes the people talking about the situation get louder.

4.      Forgetting employees
Employees are the face of the organization and they can be incredible advocates for the organization.  With the right information employees can foster the recovery of an organization from a crisis. Also, customers and other stakeholders may rely on employees to get the truth about a crisis that has hit the organization. Most of the time the crisis communication team is so focused on external stakeholders that they forget communicating to the employees which is wrong.

5.       Ill-defined response team
When coming up with crisis communication plan some PR experts do not clearly outline the structure and duties of the response team.  Also they may assign numerous roles to one person which should not be the case. It is necessary to assess the different duties of each person in the team to ensure no one is overloaded during a critical situation. It is also important to have back up team members so that in case someone is out of office for various reasons, his work will still be done.

The vulnerability of organizations and the number of possible crises seem to grow by
day and it is up to you to get prepared before it is too late. The best way to avoid these  crisis communication pitfalls is to have a solid communication strategy and a great plan in place.

PR Management

www.franklycommunications.com
Today’s PR tips will serve as a refresher course of what you learnt or will learn.

Management is an essential role that needs to be played in all organizations of the attainment of set goals. According to Mary Parker Follett, management is ‘the art of getting things done through people.’ This is through giving directions to employers, providing leadership and deciding how to use the organization’s resources to accomplish task and attain high performance.

There are four functions of attaining organizational goals in an effective and efficient manner through management.

Planning

During this foundational phase, the management analyses where the organization currently is, where they want to be in the future and how to get there. During this stage a deadline for has to be set and resources required for the task need to be identified. Remember; a goal is not a goal without a deadline. Lack of proper planning can hurt the organization’s succession and demographics not to mention waste company time and resources.

There are constant external factors affecting organizations positively or negatively and it is therefore not uncommon to find organizations changing their course of action when working toward attaining certain goals. Therefore, planning is an ongoing process.

Organizing

This will affect how the organization accomplishes the goal. After planning, the next step is to assign tasks to the different departments participating and allocating resources to them. During this stage, there should be a constant follow of information to ensure smooth running. A leader should allow members of the teams to self manage rather than micromanaging them. It allows for creativity and personal growth. Managers can also delegate authority for the duration of the task to avoid being stretched thin.

Leading/directing

Leaders can use their position to influence employee behaviour and oversee their work. This will ensure that the organization is indeed working together to accomplish the goal. The leader also needs to ensure that the goal and how to get there has been effectively communicated and remind those who have veered off the set direction. A common vision is also important during times of competition, downsizing and mergers.

Poor leadership more often than not leads to employee de-motivation. It is therefore necessary for leaders to create a shared culture and values that seek to understand employee needs and motive them.  This way, employees can then accomplish both their personal and career goals. Motivated employees go beyond their job performance and even more so when there are reward and incentive programs.

Controlling

Monitoring of employee activities determines whether or not the organization is on track. This way necessary corrections can be made if the organization in not on target or are facing obstacles. The duty of managers is to ensure that employees are working toward organization goals and doing so efficiently and effectively. Good management allows for employees to self manage/monitor according to the company’s standards. When managers are not serious or do not share the organization’s vision, there can be repeated failure in achieving set goals.

Controlling also involves evaluating and reporting the company’s performance based on the set goals. If there are areas of underperformance, the manager should sort to address the department or employee rather than reduce the overall company standards. This, like planning, is also an ongoing process in that managers should be able to identify potential problems and take preventative or corrective measures at each point of the process.

Is That News Post Necessary?

www.smartinsights.com

Does your brand feel the need to be relevant and contribute to the news making headlines in the country? If this is the case, there are a few things that as a brand you should keep in mind before engaging in the social media conversation. In the wake of the Westgate attacks and other issues affecting Kenya and the world beyond, organizations may be tempted to form an opinion and tell it to their audience. The best advice from a PR perspective is if your organization is not directly affected by what is going on, say nothing about it. This is because your brand will be seen as merely opinionated instead of a source of authority on the subject.

If you are going to post news, there are a few things you should consider. The news posted should affect either people based in your county or area of operations and a good majority of your customers. It should also be a build up of something you have been talking about as a brand. If you are a children’s rights organization you can join the conversation about how children, especially girls, are increasingly having their rights violated in society and the judicial laxity in punishing offenders. In such a case it would be necessary for your brand to speak out for if you do not, you could come across as insensitive or untimely.

Another thing to consider is whether the content is self promotional. Though Safaricom rallied funds to pay for the medical expenses incurred during the Westgate attach, there is money made out of this; remember there is a charge for sending money through Mpesa. Though this may not have been intentional, Safaricom did stand to gain from this corporate social responsibility. Be sure before posting news that you are not boosting your brand image, product or service. Get a neutral third party to give you a second opinion.

Don’t merely say you are ‘Sorry for those affected by the tragedy...’ because everyone else is saying it. When it comes to personal matters, brands are often seen as insincere even when they are not. If you are sorry and want to make a difference, donate something. Also, before posting anything on your sites, ensure that it does not coincide with current news or events especially if it is promotional material; you will just appear opportunistic. Though Kenya Power has managed to inconvenience us almost on a weekly basis, running ads and content about your ‘convenient and cost saving’ generators can be seen as more opportunistic than relevant.

Finally, to emphasize on the point initially made: is that post really necessary? What would Naivas, Uchumi or Ukwala have to say about the looting at Westgate with KDF officers carrying Nakumatt paper bags?

Happy Mashujaa Day to all.

Rising early for your PR success

fromanteel.nl
Today on Monday PR tips we will take a slightly different approach on what it takes to be good at your job. In the past month we have talked about what you need to do in your career to succeed. How then do you prepare your body to get in step with our success? Most people can attest that getting up in the morning is the hardest thing. It might be so but the benefits are far more tangible than most believe. The monks on Mount Athos shouldn't be the only people benefiting from this ritual. However if being a night owl makes you most productive, let not this deter you.

How do you wake up early?

  1. Sleep early. Studies have shown that lack of sleep hurts our bodies, makes us lose money and look uglier all in one breath. That movie or drink can wait for the weekend.
  2. Put a glass of water by your bed. Before switching off the alarm, not after, drink the entire glass. Your brain cells will automatically wake up and your eyes will be rehydrated. The desire to close them again will be far less.
  3. Put that alarm clock far from your bed. And make sure the alarm tone is annoying.
  4. Don’t rationalize. ‘Just five more minutes’ is hardly ever so. Don’t think. Get up.

Why should you wake up early?
  1. Watch the sun rise. In our growing concrete jungle and the culture we have adopted, most will raise an eyebrow at this one. We are not as big as we think we are. This humbling perspective will affect you decision-making throughout the day. Just try it tomorrow morning, and then get back to me if it doesn't work.
  2. Have some ‘you’ time. Whether you live with your partner or parent’s house, it is important to have a few minutes to yourself. We often wake up panicked that we will be late and this starts our day off in a sour note. Calm people make more rational decisions.
  3. While sipping coffee, browse at least seven websites. In PR it is important to stay current but most of all you will be smarter than your peers the entire day.
  4. Eat. You have heard it before- breakfast is the most important meal of the day. Whether you are watching your waistline or not, be it a fruit, cereal or half a loaf of bread, put something in your system to boast your energy.
  5. You have heard this too; exercise. That is all.
  6. You will automatically be early. This way, your deodorant’s effectiveness will not diminish before reaching the office. Studies also show good leaders master time keeping. They also demand it.
  7. Traffic. We all know how big of a difference getting out of the house five minutes early makes.
  8. Lastly, if you have no reason to wake up early, that is, you do all the above anyway, don’t wake up. You would only be wasting this extra time.

As you aim to sleep early, avoid doing some activities at night: eating or drinking water/coffee before going to bed or exercising or do any mentally engaging exercise.

Don’t let this long list intimidate you. Start small;  30 minutes can make a huge difference. Check the things off this list one by one. This will create not only a lifestyle change but will also allow your body to cope in the hectic world that is PR.

With that said, Glass House PR may have to move this lunchtime tips to 7 am!

8 Time Saving Tips for Social Media Marketing

Building a strong social media presence is so important in this era. Social media marketing has become an important marketing strategy...
